When creating templates, the SalesCatalysts email and SMS marketing platform offers two features to meet different collaboration needs: [Share Template] and [Send a Copy]. By leveraging these features, you can create a single template for multiple users while balancing data security and operational convenience.
This feature allows you to share your template directly with other users. The owner can set permissions to [Allow Another User to Use Only] or [Allow Another User to Use and Edit], and can change or revoke sharing at any time.
- View Only: Set [Allow Another User to Use Only] so others can apply the template but not edit it.
- Collaborative Editing: Set [Allow Another User to Use and Edit] so others can directly modify your template content.
- Permission Control: Change sharing mode or revoke access instantly.
- In the template list, click [Share] in the target template’s menu.
- Choose how to share: [Allow Another User to Use Only] or [Allow Another User to Use and Edit].
- Enter the collaborator’s [Login Email] and confirm.
- The collaborator can access it under [Templates] > [Shared with You] to apply or edit.
- To view or manage your shared templates, go to [Templates] > [Shared with Others].
- [Free Account] cannot use this feature.
- [Standard Account] has no restrictions.
This feature creates an independent copy of your template for the recipient. All content, including images, is duplicated, and the copy cannot be reclaimed or affect the original.
- Independent Copy: The original and the copy operate separately.
- Resource Duplication: All linked media assets are copied as well.
- High Confidentiality: Recipients cannot alter the original template.
- In the template list, click [Send a Copy] in the target template’s menu.
- Enter the recipient’s [Login Email] and confirm; the system sends the copy automatically.
- The recipient can find and use the copy under the [已儲存] category when creating a campaign.
- [Free Account] can only send copies, not receive them.
- [Standard Account] has no restrictions.
Below are three collaboration methods. Choose the one that best suits your security needs and collaborators.
[User Connection] simulates an account identity switch, granting others permissions to operate within your account. Access may include contacts, campaign data, and templates. Both parties must belong to a [User Team] and obtain approval from the [Team Admin].
- Advantages: Full control over campaign settings and data.
- Risks: Data access is not private; requires [Team Admin] approval.
- Best for: Collaboration among team members within the same organization.
Limited to template content only, without exposing other data. High confidentiality and supports collaborative editing.
- Advantages: No need for a [User Connection], only template content is shared.
- Requirement: Both parties must have a [Standard Account].
- Best for: Cross-department or partner template collaboration.
Simply duplicates a template for others without allowing edits to the original. Highest confidentiality. [Free Account] can also send copies.
- Advantages: No [User Connection] needed; recipients can use [Free Account], no extra fees.
- Best for: Commissioning third parties (design firms, advertisers, event partners) to create responsive email templates and avoid compatibility issues.
